Finding a hole once is easy. A consultant can do it in an afternoon with a notepad. The hard part is keeping the hole closed — in November when harvest pressure peaks, and in February when two key people have been replaced.

We've seen the pattern at every company we've worked with: the tightening-up after an audit lasts three months. Then it slides. Not out of laziness — but because staying closed depended on people and memory instead of on the system.

That's why Giki stands on four rules. Not fourteen. Four. And they're chosen because each one removes one specific way holes appear.

1 · The org chart is always up to date

Everyone is on it — a new hire inherits the role's tasks, information and training from day one. The hole this rule closes: knowledge that lives in people instead of in roles. When Bo leaves, Bo's tasks don't leave — they sit on the role, and the next person inherits them the same morning.

2 · Photos of everything

One round with the phone: photo, department, name — and a QR code for every asset. The hole this rule closes: equipment that only exists in spreadsheets. A machine with a tag can be scanned by any colleague logged in — and then its photos and history are one glance away.

3 · Gatekeepers own their areas

Every asset and every requirement gets a pearl string — seven pearls, green when it is in place. The hole this rule closes: responsibility that is "shared" and therefore nobody's. A pearl string has one owner, and a missing pearl points at a name, not at a department.

4 · All communication in Giki

Messages, follow-ups and pokes live on the tasks. Nothing in loose emails, nothing forgotten. The hole this rule closes: agreements that vanish into inboxes. When the message lives on the task, it travels with the task — including when the task changes hands.

The rules are not ambitions

Notice what the rules are not: they are not goals to work towards. They are habits the product carries: the chart stays up to date because the tasks hang on its roles. The equipment IS photographed, because registration is one round with the phone. That's why they still hold in November.
